① CHART OF ACCOUNTS & CODING HISTORY
Drop in an export of this client's last 12 months of transactions from Xero — e.g. an Account Transactions report, or a bills/purchases export (.csv or .xlsx). Claude reads it once to build this client's own chart of accounts below, and to learn which account each recurring supplier or expense type is normally coded to. This only needs doing once per client: it's saved and reloaded automatically whenever this client is selected again, and dropping in a newer export later just adds anything new. You don't need to press "Process Xero export" first: Process everything in step ② reads a waiting Xero export before the client's documents.
② Add Expenses
Drop the client's expense template (.xlsx), an Outlook email (.msg), chambers bill PDFs/scans (PNG/JPG), or a raw bank statement export (.csv) — any mix, any number. A bank statement CSV is read line-by-line and every transaction is added as a row, exactly as on the statement: money out as expenses, money in shown in green as income. Anything that looks personal (drawings, transfers to yourself, personal card repayments, HMRC self-assessment, etc.) is flagged in Notes — code these yourself, e.g. to 980 Personal Use Adjustments, before exporting. Each file adds to the rows below rather than clearing what's already there, so a client who sends a separate file per month (e.g. three months of bank statements) can just have all of them dropped in together, or added one at a time as they arrive. Use "Clear all" above if you want to start over completely.
Paste the expense email text below. Claude will extract rows automatically — missing dates default to the quarter end.
Optional notes that apply whenever documents or emails above are read for this client — e.g. "motor expenses should be at 50% business use", "ignore anything from the personal credit card", "this client's mobile bill is 80% business use". Saved per client.
